TeamSunny is looking for a virtual assistant to help manage our sales calendar. This role will use a grading matrix to vet applications that land on our sales calendar. They will contact those applicants who have been approved to ensure they show up for their scheduled call. And, they will send custom TOEs as requested by the sales team. This role is approximately 10-15 hours per week and the pay is $23 per hour. We ask that you be available at 7 AM PST, 2 pm PST, and 7 PM PST M-F and 7 pm PST Sundays.
Calendar Management Responsibilities:
- Assessment and Approval of Appointments: Evaluate and approve appointment requests based on a specific set of criteria, ensuring only high-quality prospects remain scheduled.
- Quality and Quantity Analysis: Regularly communicate with the Sales Manager about the quality and quantity of applications landing on the calendar, providing insights and recommendations for optimization.
- Liaison with Appointment Setters: Collaborate closely with appointment setters to assign calls for triage, especially in instances of cancellations, ensuring that the calendar remains optimized for sales opportunities.
- Proactive Appointment Confirmation: Actively reach out to scheduled appointments to confirm calls. If confirmations are not received, take the initiative to cancel and reschedule as necessary.
- Dynamic Scheduling: Adapt and move calls up in the schedule where there are gaps or opportunities to maximize the sales team’s time and potential.
- Continuous Calendar Evaluation: Constantly review and adjust the sales calendar to reflect an efficient and effective sales process, aligning with business goals and sales targets.
- Send report weekly on Friday to Ops Manager detailing lists of good leads, bad leads and no shows from the week
- Completes custom Terms of Enrollment (TOEs) within 1 hour of request during weekdays
- Uses Toggl or another web-based time-tracking platform effectively
- Completes End of Day (EOD) reports regularly and thoroughly
Qualifications:
- Minimum of 2 years of experience working with online businesses and familiarity with digital marketing practices **experience vetting sales calendar preferred
- Proficiency in CRM and scheduling software or demonstrated ability to learn
- Fluent in English, with exceptional verbal and written communication skills
